What we collect, why we collect it and how we protect the people who use SMP, including the players.

Who we are
Sports Management Pro, LLC (“we”, “us”) makes Sports Mgmt Pro (“SMP”), software that clubs and associations use to run tryouts, registration, payments, scheduling and communications. This policy explains what we collect on sportsmgmtpro.com and in SMP, how we use it and the choices you have.
Clubs and families
Each club that uses SMP runs its own site and decides what to ask its families. For that information we act on the club’s behalf and use it only to provide SMP to the club. If you’re a parent or player, start with your club for questions about your registration, such as correcting or deleting it. We’ll help the club respond.
What we collect
- Website messages and demo bookings: your name, email, phone, club and message when you use our contact form, and your name, email and chosen time when you book a demo through Cal.com.
- Accounts: name, email, phone, password (stored encrypted, never in plain text), role such as admin, team manager, coach or parent, and a profile picture if you add one.
- Players and registrations: player name, gender, date of birth, address, contact email and phone, team, tryout, camp and event registrations, and answers to the club’s own questions.
- Agreements and waivers: the name typed to sign, with the time and IP address of the signature.
- Tryout day: check-in time, bib number and headshot photos, plus notes club staff add about players.
- Payments: cards are processed by Stripe and card numbers go straight to Stripe. We keep a reference to the Stripe customer and card, along with amounts, balances and installment schedules.
- Technical data: sign-in times, IP address and browser details in our logs, and the cookies needed to keep you signed in.
How we use it
We use this information to:
- Provide SMP to clubs, including registrations, payment plans, field schedules and calendar feeds.
- Send the emails SMP and your club send, such as receipts, announcements, balance reminders and schedule updates.
- Answer your questions and set up demos.
- Keep SMP secure, for example by limiting sign-in attempts and handling payment disputes.
- Meet our legal obligations.
We don’t sell your information
We don’t sell personal information, and we don’t use player or family information for advertising.
Who we share it with
We share information only as needed to run SMP:
- With the club whose site you use.
- With service providers that work for us, including Stripe for payments, our email delivery and hosting providers, Web3Forms for our website contact form and Cal.com for demo bookings.
- When the law requires it, or to protect the rights and safety of our users or the public.
- With a buyer or successor if our business changes hands, who must keep protecting it under this policy.
Children
Many players are under 13. SMP is used by club staff and by parents and guardians, who provide information about their players. We don’t knowingly collect information directly from children. If you think a child has given us information directly, contact us and we’ll delete it.
Cookies
SMP uses only the cookies it needs to keep you signed in and secure. This website doesn’t use advertising cookies. The Cal.com booking calendar on our Demo page may set its own cookies.
How long we keep it
We keep account and registration information while the club’s account is active, and for as long as the club needs it for its records and payments. Clubs can delete tryout headshots. When a club closes its account, we delete or anonymize its information, except records we must keep by law, such as payment records.
Security
SMP uses encrypted connections, encrypted passwords, limits on sign-in attempts and role-based access, so staff and parents see only what they should. No system is perfectly secure, so please keep your login details private and tell us if you notice anything wrong.
Your choices
You can see and update most of your information in your SMP account. To access, correct or delete information, contact your club or email us. Depending on where you live, you may have more rights under local law, and we’ll honor them.
Changes to this policy
If we update this policy, we’ll change the date at the top of this page and let club admins know about significant changes.
